BE AWARE - IT IS LAW
SDS MUST ALWAYS BE AVAILABLE TO WORKERS!

  • You MUST have a compliant SDS for every Dangerous Good and Hazardous Substance on your work sites and in your workshops

  • Every employee MUST have access to those SDS

  • Experience shows that if an auditor or an officer from your jurisdiction authority cannot find anything wrong on site they will generally go through all your SDS records seeking a fault

  • The easiest most cost effective option is to harness modern technology and use it to improve your business operation

  • In SmarterScreen, go to your "USER" screen and set up access to all of your workers ensuring you select the "Worker" in the “Assign Role” option

  • Under the "Worker" Assign Role” option, they will have access to SDS, SWMS, SWP, Plant Risk Assessments and Emergency Contacts - access to these documents buy all employees & subbys is required by law

  • Give them their "USER" and "PASSWORD" details and have them create a link to SmarterScreen on their mobile device home page

  • IMS Admin, Manager, Supervisor and Customer selections also have access to the Safety Data Sheets

  • The moment Smarter Safety uploads a new or updated SDS to your system every worker has immediate access to it. No errors, no printing, no labour following up folders and updating them all the time = HUGE SAVINGS

  • TIP - some clients pay a couple of dollars each week for workers to use their own mobile phones for work related matters (in most cases they will look after their device more effectively than yours)

  • If none of the above works in your situation you MUST PRINT all the SDS files and keep those copies at the each and every work site and up to date at all times.

HOW DO I MANAGE OUR SDS FILES TO ENSURE COMPLIANCE?

  • Smarter Safety Support includes 100% maintenance of your SDS Register.

  • When re-ordering, endeavor to replace what you have to ensure continual compliancy.

  • Remove unused substances from your workplace to better manage compliance.

  • Inform Smarter Safety of those (using the Register Description) no longer used, and they will be removed

  • Ideally request the SDS from your supplier when ordering it for the first time and email that SDS to “support@smartersafety.com.au” for uploading to your SmarterScreen.

  • We suggest you remove substances from your worksite that are now specified by the supplier as obsolete.

HOW DOES SMARTER SAFETY MANAGE YOUR SDS REGISTER?

  • Our system identifies any SDS that is within 3 months of expiry

  • We then commence working to source an updated copy

  • When it is obtained, it is added to your file & immediately flows through to your SmarterScreen

  • Please be aware that often suppliers do not update their SDS files until after expiry or until we alert them and then it can still be weeks, if not, months before an update is made available.

SEEKING NEW SDS FILES?

  • Smarter Safety with your initial help will source and upload your required SDS files to your SmarterScreen.

  • There are literally millions of SDS floating around on the “cloud” where we source them

  • Your instructions need to be terribly specific for us to source the correct file for you.

SPECIFIC REQUIREMENTS:

  • If it is a paint, we need the actual colour

  • If it is part of a range we need the specific product details

  • 95 times out of 100 the retailer where you buy it has no relevance to the SDS unless it is their House Brand

  • If it comes from overseas we need your Supplier’s Name / the Australian Importer’s name and contact details

MUST HAVES!

  • The created or reviewed date must be within 5 years of the current date (date of printing is not relevant)

  • Every SDS must have the supplier’s Australian address and emergency phone number.

COMPLIANCE:

For a Safety Data Sheet to be compliant in Australia it MUST:

  • be within it’s 5 year “use-by-date”

  • contain the Australian suppliers address and

  • contain an Australian emergency phone number.

HOW TO REMOVE NO LONGER USED SDS FROM YOUR MASTER FILE:

  1. Print a hard copy of your SDS Register.

  2. Draw a single line through each SDS title to be removed

  3. Ideally scan the result into a PDF file ( Scanner Pro is a free App for IOS, Android will have their own version for scanning to PDF)

  4. Email the result to support@smartersafety.com.au

HOW TO ADD NEW SDS TO YOUR MASTER FILE:

Fill out all the required details on the form below and submit

email your sourced SDS to support@smartersafety.com.au for uploading.

  • This form will handle five (5) new SDS requests

  • If you have more to add. please submit this form and then start another and another

  • Please check your SDS Register FIRST to ensure the intended SDS is not already on file.

NEW CLIENTS:

  • Please complete for substances you use that are NOT on your SDS questionnaires
